Nobody Decides to Have a Stale Website

Content drift is never a decision. It is an accumulation: a price that changed in reality but not on the services page, a team photo with two departed employees, a claim that was true in 2023, three blog posts that contradict each other because they were written years apart by different hands. Each item is trivial. The sum is a website that quietly disagrees with your business, and visitors notice the disagreement before you do. Governance is the unglamorous system that prevents this, and small companies need it more than enterprises, because nobody has drift-checking in their job description.

The Four Rules of Lightweight Governance

  • Every page has one owner. Not a committee, a name: the person who answers "is this still true?" An unowned page is a page already drifting. For most SMBs this is a one-hour exercise in a spreadsheet, and it is the single highest-value governance act.
  • Truth-sensitive content gets a review date. Prices, staff, hours, service claims, statistics: anything reality can invalidate gets a recurring check, quarterly for the volatile, yearly for the stable. The review is usually thirty seconds of "still right." The system's value is that the thirty seconds happens.
  • One source of voice and facts. A single living document with how you sound, the claims you make, and the numbers you cite, so every new page agrees with the last one. This is the same guardrail document from voice-safe testing, extended to facts.
  • An exit policy for content. Pages get improved, merged, or retired on purpose, with redirects, per the pruning logic from the sitemap question. Sites without an exit policy only ever add, and addition without subtraction is how drift compounds.

Why This Matters More in the AI Era

Two new pressures raised the stakes. Content volume went up, because AI-assisted teams publish faster, and more pages means more surface for drift. And machines now read your site as a source of facts: AI search systems cross-reference your claims across pages and against your listings, and inconsistency reads as unreliability at exactly the moment being cited became the new ranking. A governed site is machine-trustworthy by construction.

Make It a Rhythm, Not a Project

Governance fails as an annual cleanup binge and works as a monthly heartbeat: the owner list current, this month's review dates cleared, one contradiction hunted down. Thirty minutes, most months. We fold exactly this rhythm into our maintenance plans, alongside the improvement loop from maintenance as the key to success, because freshness and truth are maintenance deliverables like uptime. If your website has pages nobody owns and claims nobody has checked since launch, let us set up the system. It is an afternoon to install and years of drift prevented.
